You have just landed and you are tired. This guide covers the arrivals steps, where a pre-booked driver waits, and what to do if you cannot find each other.
Most arrivals follow the same order. You leave the plane, go through immigration, collect your bags and then walk out through customs. The time this takes changes a lot with the flight and the day. A full flight or a busy evening can add a long wait at the baggage belt.
Have your travel documents ready for immigration. Keep your phone charged, because you will need it to message your driver once you are through.
On our pre-booked transfers, the driver waits in the public arrivals hall, after immigration and baggage collection. The driver holds a board with your name on it. You then walk a few minutes to the car park. The driver does not wait airside and does not join the airport taxi queue.
Airports change signs, barriers and pickup zones. Check the exact spot in your booking message the day before you fly. The Colombo airport to Kandy page has the same meeting-point details.
If you use a ride-hailing app, the app usually gives you a pickup spot. Uber's airport page says riders are sent to an assigned spot, which may not be the nearest exit, and that the driver's name, plate and car colour appear in the app. Follow the app rather than walking to the first exit you see.
The official airport taxi counter is another option. You pay at a desk in the arrivals hall, then walk to the car. A pre-booked transfer is different again. You agree the price and the pickup point before you land, so you do not need to decide at the kerb.
Your driver may message you on WhatsApp, and an app pickup needs data. If you can, buy a SIM or a data plan before you leave the arrivals area. Counters can be busy late at night, so do this early rather than at midnight.
Send your flight number before you land, and save the driver's number in your phone. Keep some local rupees for small costs such as water or a toilet stop.
Send your flight number when you book, and again on the day. Once the flight is tracked, the driver can see delays and plan the pickup around them. The route page says free waiting applies to typical landing delays.
If you cannot find the driver, stop near the arrivals exit, message on WhatsApp with a photo of where you are, and wait for a reply. Do not accept a ride from someone who approaches you and offers to drive you, even if they say your driver sent them. Check the name board, or confirm in your booking message first.
The usual transfer from Colombo airport to Kandy covers about 116 km and takes about 2.5 to 3.5 hours. The time depends on where your hotel is, the traffic and any stops. A short break can work well after a long flight. Mention it when you book, so the timing is clear.
Keep a bottle of water, a snack and any medicine you need in your hand luggage. You will want to reach them without unloading the boot.

About 2.5 to 3.5 hours over roughly 116 km. Traffic, your hotel location and any stops change the time.
It helps. WhatsApp needs data or WiFi, and your driver may message you as you land.
